Understanding the Levels when defining GL Mapping
There are several levels in which the data can be exported to xero, understanding what the levels are in ConnectWise is fundamental in the output into xero.
- Company Structure
- Accounting System Setup (Connectwise)
- GL Mapping
- XERO Chart of Accounts
- Connectwise to XERO chart of account mapping
In each of these areas, incorrect configuration will result in either a batch record validation error (inability to post into xero) or data being posted into an incorrect account in xero.
The following provides learning suggestions in understanding the management of data in both systems.
Your company structure in ConnectWise will provide for facility to break down the revenue and expense based on this structure.
The following table provides segmentation options in the Accounting Interface, for a company with three billing locations, each with different workgroups.
Based on the above table, the following would be the ways in which you could segment the data to provide either granular or top level considated data through to XERO.
1. Owner - Most top level, provides no further segmentation
> Eg. Wise-Sync
2. Office - Ability to segment income and expense at an office level, available at the (Invoice or Purchasing) record level.
> Eg, Melbourne, London, Vancover, Auckland.
2. Workgroup - Ability to segment income and expense at a workgroup level
> Eg. Helpdesk, Sales, Development
Note: It is important to plan how you would like the data to map from ConnectWise, as once invoices and purchase orders are closed, the GL Mapping has already been created. In order to re-create the GL Entries, the invoice or purchase order will need to be re-opened.
